How to build a customer support knowledge base for a small business

Create consistent answers to order, delivery, return and service questions with clear ownership.

Choose topics from actual conversations

Classify email, phone, messaging and marketplace inquiries instead of guessing the FAQ. Record the customer’s own wording; it can inform the title of a public help article.

    Assign an owner to each answer

    When delivery times, return terms or payment methods change, the knowledge base must change too. Keep scope, last review date and approver on every answer. Separate internal procedures from public guidance.

    • Update owner and date

    Feed unresolved cases back into the system

    If agents repeatedly escalate the same question, a rule or authority is unclear. Review those cases weekly and improve the answer, order process or product information.
